The right order management software for QuickBooks depends on where your sales orders come from. If your team keys orders by hand, QuickBooks itself now covers it: QuickBooks Online Plus and Advanced have native sales orders, and QuickBooks Desktop Enterprise Platinum and Diamond add a fulfillment worksheet and pick, pack and ship. SOS Inventory, Webgility and Ordoro add inventory, channel sync or shipping on top. If customers email purchase orders as PDFs, you also need a capture step in front of QuickBooks, which is what PurchaseOrders does.
Most results for this search are either vendor pages or app store category lists that show every app ever connected to QuickBooks. This comparison is narrower. It covers only tools that create, sync or feed sales orders, it prints only prices the vendors publish, and it answers the questions a distributor or wholesaler actually has before buying: does QuickBooks already do this, what does each add-on send into QuickBooks, and what happens to the orders that arrive as PDFs.
| Tool | What it adds for sales orders | QuickBooks version | Published price (September 2026) |
|---|---|---|---|
| QuickBooks Online sales orders (native) | Create sales orders, convert to invoice, convert to purchase order | Online Plus, Advanced, Intuit Enterprise Suite; Simple Start and Essentials with the Inventory add-on | Included in those plans |
| QuickBooks Desktop Enterprise | Sales Order Fulfillment Worksheet, pick, pack and ship, backorder tracking | Desktop Enterprise (fulfillment tools on Platinum and Diamond) | Configured on Intuit site, no single list price |
| SOS Inventory | Sales orders, assemblies, inventory, locations, synced to QuickBooks Online | Online | $69.95, $139.95, $194.95 a month (2, 3, 5 users; extra users $25) |
| Webgility | Syncs orders from ecommerce and B2B channels into QuickBooks | Online and Desktop Enterprise | Online from $79 a month ($69 billed annually); Enterprise from $249 ($199 annually) |
| Ordoro | Shipping, inventory and dropshipping with QuickBooks sync | Online and Desktop | QuickBooks from $149 a month; purchase orders on Inventory Premium at $499 |
| SaasAnt Transactions, Zed Axis | Bulk import of sales orders from Excel or CSV | Desktop (and Online for other transaction types) | Check the vendor page |
| Esker, Conexiom | Automated capture of customer POs into an ERP | Mostly ERP, not QuickBooks | Quote only |
| PurchaseOrders | Reads customer PO PDFs into rows for your importer | Any, through the file you import | $49 a month, or $24 a month billed yearly |
Yes, more than it used to. QuickBooks Online now has native sales orders on Plus, Advanced and Intuit Enterprise Suite, and on Simple Start or Essentials with the paid Inventory add-on. You convert a sales order to an invoice from the Action menu, the status moves to Invoiced and then Paid, and in 2026 Intuit added custom fields, attachments, bundles and a one-step conversion from a sales order to a purchase order. Plenty of articles still say QuickBooks Online has no sales orders. That is out of date.
QuickBooks Desktop has had sales orders for years in Premier and Enterprise. Enterprise is where the order management depth sits: Intuit lists sales order fulfillment and pick, pack and ship as Platinum and Diamond features, and barcode scanning and bin locations as part of the Advanced Inventory module, with scanners sold separately. If you already run Enterprise Platinum, check what you are paying for before you add another subscription.
For a distributor that picks from a warehouse, QuickBooks Desktop Enterprise Platinum or Diamond is still the deeper tool, because the fulfillment worksheet and pick, pack and ship have no direct QuickBooks Online equivalent. For a team that wants cloud access and mostly converts orders straight to invoices, QuickBooks Online Plus or Advanced now covers the basics natively. The deciding question is fulfillment: if you need partial shipments, backorder tracking and picking by bin, lean Desktop Enterprise or add an inventory app to QuickBooks Online.
SOS Inventory sits beside QuickBooks Online and adds what the native product leaves thin: multiple locations, serial and lot tracking and barcoding from the Plus plan, and job costing, advanced manufacturing and a customer portal on Pro. Sales orders are on every plan. Published pricing is $69.95 a month for Companion with two users, $139.95 for Plus with three, and $194.95 for Pro with five, with extra users at $25 a month. It suits a small manufacturer or distributor that has outgrown QuickBooks Online inventory but not QuickBooks itself.
Webgility is an order sync tool. It pulls orders from ecommerce stores and marketplaces into QuickBooks with the customer, item and payout detail, and its Advanced plan adds B2B fields including PO number sync and payment terms. Published pricing is $79 a month for Pro with 300 orders, $149 for Advanced with 800, and $349 for Complete with 1,500, with lower rates billed annually, and separate QuickBooks Desktop Enterprise tiers starting at $249 a month. It is the right answer when orders already exist as data in another system. It does not help with a customer who emails a PDF.
Ordoro is a shipping and inventory platform for ecommerce sellers. Its QuickBooks integration starts on the Shipping Premium plan at $149 a month, and purchase orders appear only on Inventory Premium at $499 a month. It fits an online seller whose main problem is labels and stock across channels, less so a wholesale distributor whose orders arrive from buyers by email.
These are not order management systems. They load transactions into QuickBooks from a spreadsheet, and for QuickBooks Desktop that is how most bulk sales order imports happen. SaasAnt accepts XLS, XLSX, CSV, TXT and IIF, groups rows into one order when they share the same sales order number, and can auto-create missing products (usually worth switching off). Zed Axis supports Premier and above and matches customers by their full name exactly as it appears in QuickBooks. Both assume you already have the spreadsheet.
This is the gap none of the tools above closes. A wholesale distributor on QuickBooks might get most of its orders as PDF purchase orders from retailers, contractors and schools that will never place an order through a portal or send EDI. Every one of those gets read and keyed into a sales order by hand. QuickBooks capture features read receipts and bills you pay, not orders customers send you, and the importers need a spreadsheet that does not exist yet.
PurchaseOrders is the capture step for that case. Upload the customer PO and it returns the PO number, customer, ship-to, dates, terms and every line with part number, description, quantity and price as CSV or Excel. You apply your customer part number to item lookup and load the file with your importer. The details that decide whether that load succeeds (exact customer names, the 25-character PO number field on Desktop, and grouping lines by sales order number) are laid out on our import sales orders into QuickBooks page. For the broader workflow beyond QuickBooks, see sales order entry automation.
From nothing extra to several hundred dollars a month. Native sales orders are included in QuickBooks Online Plus and Advanced and in Desktop Enterprise. Among add-ons, SOS Inventory starts at $69.95 a month, Webgility at $79 a month for QuickBooks Online and $249 for Desktop Enterprise, and Ordoro at $149 a month for its first plan with QuickBooks sync. Enterprise order automation platforms such as Esker and Conexiom publish no prices and are sold through an implementation project. PurchaseOrders costs $49 a month, or $24 a month billed yearly for 2,500 pages a month on the standard model.
| If your orders come from | Start with |
|---|---|
| Your own staff, by phone or counter | Native QuickBooks sales orders |
| A warehouse that picks and ships partial orders | QuickBooks Desktop Enterprise Platinum or Diamond, or SOS Inventory with QuickBooks Online |
| Shopify, Amazon or other online channels | Webgility or Ordoro |
| A spreadsheet someone already has | SaasAnt Transactions or Zed Axis |
| Customer PDFs by email | PurchaseOrders in front of your importer |
| Thousands of customer POs a month into an ERP | Esker or Conexiom |
Most distributors end up with two of these, not one: QuickBooks or an inventory app to manage the order after it exists, and a capture step to create it from the customer document. If you are still deciding which accounting system to run purchasing in at all, accounting software with purchase orders compares the plan tiers, and Xero vs QuickBooks for purchase orders goes head to head on the two most common small business choices.
One practical note for the same books: customer orders are rarely the only paperwork that arrives as a PDF. If your bank and card statements also come as PDFs, you can convert the statement PDFs into QuickBooks bank files rather than keying transactions, which removes the other big block of manual entry in a small finance team.
If you receive thousands of customer POs a month and want them to post without a person reviewing a file, look at dedicated order automation. We compare the two established vendors honestly in the Esker alternative and Conexiom alternative breakdowns. And if the orders you need in QuickBooks are the purchase orders you send to suppliers, QuickBooks purchase order import covers that direction, including the IIF route on Desktop.
