Does Viewpoint Vista have purchase orders?

Yes. Vista has a full purchase order module: PO Entry for the header and items, batch processing to post, receipts, and change orders. The header carries vendor, order date, expected date, ship location, pay terms and hold code, and freight can go on as a single miscellaneous line with a unit of measure of LS. For volume, the Imports module ships standard PO and POItems templates that load a delimited file into a batch you validate and post. Plenty of Vista shops need nothing more, as long as their orders start inside Vista.

The catch is that bulk import still expects rows. The Purchase Order Items (POIB) form wants a LineType of 1 Job, 2 Inventory, 3 Expense, 4 Equipment or 5 Work Order on every record, plus GL company and account, units, unit cost, gross amount and an ECM pricing unit. If your orders begin as documents from suppliers, somebody builds those rows by hand.

Viewpoint Field Management: Trimble's own field ordering

Field Management is the Trimble answer for orders raised away from the office. Users of the Vista Web portal with the Create PO, Quick PO or PO Requisition permissions can submit purchase orders, and the portal supports Job, Inventory, Expense, Equipment, EM Work Order and SM Work Order lines. One setup detail decides whether it works at all: Trimble states that Approval Required on RQ for Purchase must be unchecked in PO Company Parameters, otherwise purchase orders cannot be submitted through the portal. It suits a contractor that wants to stay entirely on Trimble software and already gives field staff portal access.

Does Procore integrate with Viewpoint Vista?

Yes, through the Integration by Ryvit connector in Procore's company-level ERP Integrations tool. It syncs automatically once an hour, and Procore says that schedule cannot be changed. Commitments, meaning purchase orders and subcontracts, export from Procore to Vista along with commitment change orders, and Vista payments can be synced back into the Payments Issued tab. What the connector will not do is export a commitment created in Vista into a Procore project.

In practice Procore becomes the place purchase orders are born and Vista becomes the ledger. That is a sound design for a general contractor already running project financials in Procore, and an awkward one for a company whose purchasing team works in Vista every day. Field Materials: materials procurement that writes coded POs

Field Materials reads jobs, vendors, cost codes, cost types, equipment and service codes, county tax codes and, optionally, job budgets from Vista. It writes itemized purchase orders coded to cost code and cost type back into Vista, along with invoices, which can post against POs, as direct job cost or as overhead, and receipts as AP payments or AP entries. It also offers an API. The company targets contractors across trades, from mechanical and electrical to concrete and masonry. Choose it when you want the purchasing process itself to move out of Vista and into a dedicated materials procurement app.

Remarcable: built for electrical, mechanical and plumbing contractors

Remarcable combines procurement with inventory management and is aimed squarely at MEP trades. Its Vista integration runs over API, syncs job cost data automatically, brings purchase orders and invoices across through a two-step import, and uses delivery information for three-way matching between PO, invoice and delivery. Remarcable says setup comes with a dedicated customer success manager and an integration engineer, which tells you this is an implementation project rather than something you switch on in an afternoon. QuoteToMe: quotes and receipts into purchase orders from the field

QuoteToMe is construction procurement software for field teams. It turns a supplier quote or a scanned receipt into a digital purchase order with what it calls One Touch POs, routes it through an approval hierarchy, and sends the committed cost to Vista as it happens instead of when the invoice shows up. Its Vista connector is listed on the Trimble Marketplace. It fits a contractor whose real problem is foremen buying materials without a PO number.

One judgment call is worth making before you buy anything in this category. A receipt from a supply-house counter run on a company card is spend after the fact, not a planned commitment. Many contractors keep those in expense management software that reads receipts and reserve purchase orders for planned material buys, which keeps job commitments in Vista honest.

BuildOps: for commercial service contractors

BuildOps is field operations software for commercial contractors in HVAC, electrical, plumbing, fire and life safety, and refrigeration. Purchase order receipts created in BuildOps push to Vista as POs, posted invoices export to Vista as AR invoices, and approved timesheets export as a CSV for import into Vista Payroll. In the other direction, vendor invoices posted in Vista AP and payment data read back into BuildOps. Pick it when the purchase order is one piece of a service business with dispatch, work orders and billing, not the thing you are shopping for.

Tekla PowerFab: steel fabricators

PowerFab validates and sends a purchase order, or a batch of them, to Vista or Spectrum. Trimble's documentation lists what has to line up first: the vendor's company code in the PowerFab address book must match the Vista vendor, the job number must match the Vista job, and the PowerFab cost code maps to the phase on the Vista PO. An item missing its cost code and cost type, or an order missing its company code, fails. After a successful export the purchase order is locked and marked approved. How much does purchase order software for Vista cost?

Almost all of it is quoted. Procore prices on annual construction volume. Trimble quotes Vista modules and Field Management through its own sales team. Field Materials, Remarcable and BuildOps publish no price on the Vista integration pages we reviewed. Budget implementation time on top of the subscription, because every option except typing and your own IM templates needs its code lists mapped, meaning vendors, jobs, phases and cost types, before the first order flows through cleanly.

What none of these tools do: the orders that arrive as PDFs

Every tool above creates purchase orders. None of them reads a purchase order that reached you as a document: the confirmation a supplier sends back from its own portal, a quote that became an order over the phone, a photo of a counter ticket from a job trailer, or the open PO report printed out of the system you are migrating away from. Those still get keyed into PO Entry by somebody, one line at a time.

That is the gap PurchaseOrders fills. Upload the PDF, check the header and every line on screen, and export a CSV that you map once into a copy of Vista's POItems template, then validate and post the batch yourself.
