QuickBooks Online has a built-in purchase order system, but only on the Plus plan ($140 a month list) and the Advanced plan ($340 a month list). It creates, emails and closes purchase orders against bills, with no approval routing described in Intuit's own help. Teams add an app when they need approvals, many requesters or inventory control. Among apps with a published US price and a QuickBooks integration, SOS Inventory starts at $69.95 a month, Tradogram at $99, Precoro at $499 and ProcureDesk at $830.

This page compares the purchase order systems that genuinely connect to QuickBooks, on what a US buyer asks before signing: what each one costs, what it actually does with purchase orders, and which company it suits. Every price below was read off the vendor's own pricing page in September 2026. Where a vendor publishes no price we say quote only instead of guessing.

Does QuickBooks have a purchase order system?

Yes, with limits. Intuit's help center states that purchase orders are only available in QuickBooks Online Plus and QuickBooks Online Advanced, so Simple Start ($38) and Essentials ($85) cannot raise one at all. You switch the feature on under Settings, Account and settings, Expenses, Purchase orders, then turn on Use purchase orders. Once the vendor accepts, you add the purchase order to a bill or expense and QuickBooks marks it Closed.

That covers the core loop for a small team with one person buying. What the help article does not describe is any approval step: nobody has to sign off before the PO goes out, and every person who raises one needs a QuickBooks user seat. Plus includes 5 users and Advanced includes 25. QuickBooks Desktop also has purchase orders, but Intuit stopped selling new Desktop Pro Plus and Premier Plus subscriptions in the US in 2024, so most new buyers are choosing on top of QuickBooks Online. Sales orders are a separate question, covered in order management software for QuickBooks.

When do you need purchase order software on top of QuickBooks?

Four situations push teams past the built-in feature. First, purchases need approval by budget owner or dollar amount before the order is sent. Second, requesters outside finance, such as site managers or lab staff, need a simple request form without a QuickBooks seat each. Third, you carry stock and want reorder points, receiving and landed cost tied to the purchase order. Fourth, card spend and bills need to be approved against the same budget. If none of those apply, upgrading to Plus is cheaper than anything below. The move from QuickBooks to NetSuite is compared in NetSuite vs QuickBooks purchase orders.

The eight options, one by one

QuickBooks Online Plus and Advanced

If one person places orders and the owner trusts them, the built-in feature is enough. You get numbered purchase orders, emailed to the vendor as PDFs, and an open purchase order report that shows what is still outstanding. The two gaps are approvals and the seat count. Advanced adds workflow automation and more users, so ask Intuit to show you a PO approval rule working before you pay for Advanced on that basis alone. Also note what it cannot do: QuickBooks Online has no native way to import purchase orders from a spreadsheet, so a backlog of orders has to be entered one at a time or loaded through a third-party app that uses the QuickBooks API.

SOS Inventory

SOS Inventory is the practical choice when purchase orders are really about stock. It keeps items, locations, receiving and reorder points in its own app and syncs with QuickBooks Online, so a purchase order becomes a receipt and then a bill without typing it twice. Pricing is monthly with no annual lock-in required: Companion at $69.95 with 2 users, Plus at $139.95 with 3 users and Pro at $194.95 with 5 users, with extra users at $25 each. Annual billing gives two months free. It is not a procurement approval tool, so pair it with a clear buying policy.

Tradogram

Tradogram is a procure-to-pay tool whose entry plan is a flat fee rather than a per-user charge: Essentials is $99 a month or $950.40 a year, and Premium and Scale are quoted. Its pricing page lists QuickBooks Online and QuickBooks Desktop among its integrations but does not say which plan carries them, so confirm that Essentials includes the connector you need before you sign. It covers requisitions, approvals, purchase orders, receiving and supplier management.

Precoro

Precoro is a full purchase order suite with requests, approval chains, budgets, receiving and invoice matching. For QuickBooks Online users it is one of the better value suites, because its pricing page lists QuickBooks Online on the Core plan, which starts at $499 a month billed annually. Automation starts at $999. QuickBooks Desktop does not appear on the pricing page, so Desktop users should ask first.

ProcureDesk

ProcureDesk publishes its prices clearly. The Startup plan at $830 a month billed annually ($9,960 a year) covers QuickBooks, Xero and Bill.com, includes 10 users and charges $20 a month for each extra user. It offers a 30-day money-back guarantee on all plans and a 15% discount for nonprofits and charter schools with tax-exempt documentation. It is a good fit once approvals by department and budget start to matter. Nonprofits that need PO line data by fund or program can look at purchase order extraction for nonprofits.

Ramp Procurement

Ramp's Free plan already connects to QuickBooks Online, but purchase order management sits in the Procurement add-on, which needs Ramp Plus ($15 per user a month plus a platform fee) or Enterprise. Ramp does not publish the add-on price. Its feature list includes custom intake, PO management, matching card transactions to purchase orders and three-way match with item receipts. It makes most sense when the company already runs cards and bill pay through Ramp.

Procurify

Procurify prices by quote. Every customer starts with its Purchasing product, and the price depends on how many Pro users approve and buy, while basic users who only request are unlimited. That makes it a good fit for a company where dozens of people occasionally need to order something. It integrates with QuickBooks Online and QuickBooks Desktop. Buyers report paying a median of about $15,000 a year; we broke down how the quote is built in Procurify pricing and alternatives.

PLANERGY

PLANERGY is a spend management and procure-to-pay platform priced by quote. Its QuickBooks Desktop integration page is explicit that requesters approve and manage purchase orders in its cloud app with no user access to QuickBooks Desktop required, which solves the seat problem for Desktop companies. It also connects to QuickBooks Online.

How much does purchase order software for QuickBooks cost?

Expect $70 to $200 a month for an inventory-led app, about $100 a month for the cheapest flat-fee procurement tool, and $500 to $830 a month for a published approval suite with a QuickBooks connector. The lowest list prices in September 2026 were SOS Inventory Companion at $69.95 a month, Tradogram Essentials at $99, Precoro Core at $499 billed annually and ProcureDesk Startup at $830 billed annually. Procurify and PLANERGY quote every deal. Add the QuickBooks side too: if you are on Simple Start or Essentials, moving to Plus is part of the real cost of having purchase orders at all.

What none of these tools do with purchase order documents

Every app above creates purchase orders from requests. None of them reads a purchase order that arrives as a document: a customer PO you need to turn into a sales order or invoice, a supplier order confirmation, or a stack of old POs from a system you are leaving. That job is capture, not procurement. PurchaseOrders reads a PDF, scan or photo of a purchase order and returns the header and every line as Excel, CSV or JSON. It does not connect to QuickBooks or post transactions, so you load the rows yourself. The routes are laid out in QuickBooks purchase order import, the Desktop file format is covered in IIF files for QuickBooks purchase orders, and customer orders on the selling side are covered in QuickBooks sales order import. Plans start at $49 a month. The same capture idea helps with banking: when a bank feed drops a few months, a PDF bank statement to QuickBooks converter gets the missing transactions in without retyping them.

How to choose

  1. Check your QuickBooks plan first. On Simple Start or Essentials, upgrading to Plus may be all you need.
  2. Decide whether this is about stock or about spend. Stock points to SOS Inventory. Spend control and approvals point to Tradogram, Precoro, ProcureDesk or Procurify.
  3. Count requesters, not buyers. Many occasional requesters favor Procurify's unlimited basic users or a flat-fee plan over per-seat pricing.
  4. Confirm the connector is on your plan. Several vendors list QuickBooks as an integration without tying it to a tier.
  5. Desktop users, ask directly. Procurify, Tradogram and PLANERGY list QuickBooks Desktop; Precoro's pricing page does not.

Frequently asked questions

Which QuickBooks plan has purchase orders?

QuickBooks Online Plus and QuickBooks Online Advanced. Intuit's help center says purchase orders are only available on those two plans. Simple Start and Essentials cannot create them, so a business on either plan has to upgrade or use an outside app to issue purchase orders.

How do I set up a purchase order system in QuickBooks?

In QuickBooks Online Plus or Advanced, go to Settings, Account and settings, Expenses, and turn on Use purchase orders in the Purchase orders section. You can then create a PO for a vendor, email it, and later add it to a bill or expense, which closes it.

Can QuickBooks Online approve purchase orders?

Not in the basic purchase order flow. Intuit's article on creating purchase orders describes no approval step. Advanced includes workflow automation, and dedicated apps such as Precoro, ProcureDesk, Tradogram and Procurify add approval chains by amount, department or budget before the order goes out.

What is the best purchase order software for QuickBooks?

It depends on the job. SOS Inventory suits businesses whose purchase orders are about stock. Tradogram is the cheapest flat-fee procurement entry at $99 a month. Precoro and ProcureDesk are the published approval suites. Procurify suits many occasional requesters, and Ramp suits companies already on Ramp cards.

Can you import purchase orders into QuickBooks Online?

Not natively. QuickBooks Online has no built-in purchase order import from Excel or CSV, so orders are entered by hand or created through an app that uses the QuickBooks API. QuickBooks Desktop can import purchase orders from an IIF file, which has a strict block structure.
