SAP sales order automation comes in three layers: SAP's own tools that load structured data (the Import Sales Orders app), SAP's own AI extraction that reads PDF purchase orders but only on S/4HANA with a Document AI subscription, and third-party vendors such as Esker, Conexiom, Symtrax and EchoVera that sell the full flow on a quote. A PDF capture tool like PurchaseOrders sits in front of whichever loader you use, and it is the only option here with a published monthly price. Per page and per credit pricing for the underlying OCR services is compared in purchase order OCR API pricing.
Most SAP order desks do not have a data problem. They have a reading problem. The customer purchase order arrives as a PDF, someone reads it, and someone types it into VA01 or into a spreadsheet for an upload. Every product in this category is sold as the fix for that step, so the useful question is not which one uses AI. It is which one fits your SAP release, your volume and your budget. This page lays that out, including what each vendor does and does not publish.
Prices are what each vendor publishes as of September 2026. Quote only means the vendor lists no figure on its own site, not that we left it out.
| Option | Type | Reads a PDF purchase order | SAP release | Published price |

Yes, but it splits cleanly by release. On SAP S/4HANA from the 2021 on-premise release, the Import Sales Orders app (F4293) creates sales orders in bulk from SalesOrderImportTemplate.xlsx: one line per order item, header values repeated for multi-item orders, with the normal order entry checks run on upload. It is fast and it costs nothing extra, but it expects a filled spreadsheet. It does not read a PDF.
Reading the PDF is the job of Create Sales Orders, Automatic Extraction, delivered as scope item 4X9. A sales rep uploads the customer PO as a PDF or image, the Document Information Extraction service on SAP BTP reads it, and S/4HANA creates a sales order request, a draft that someone converts into the real order. SAP documents it for purchase orders in English or German. From S/4HANA Cloud 2602 the upgraded AI-Assisted Extraction app (F8947) does the same on SAP Document AI. Pulling attachments out of a shared mailbox without a person uploading them takes extra setup in SAP Build Process Automation.
On SAP ECC none of the packaged apps exist. ECC shops load orders through a program built on BAPI_SALESORDER_CREATEFROMDAT2, through LSMW, or through IDoc inbound for customers who send EDI. The mechanics of each route, and what the upload file has to look like, are on our SAP sales order upload page.
SAP does not publish a single list price for it. The premium edition is metered by document, where a document is at most one page, so a four-page purchase order counts as four. Each metered document covers up to 50 extracted schema fields, and more than that is charged again. There is a free tier of 50 uploaded pages per tenant in a rolling 30-day window, which is enough to test with and not enough to run an order desk. Actual rates come from your SAP contract or the estimator in the SAP Discovery Center, and they sit on top of the BTP account the service needs.
For an S/4HANA customer already on BTP, that can be the cleanest route, because the output lands in SAP as a sales order request with no files in between. For everyone else it means a new subscription, a BTP setup project and page-metered billing before the first order is read.
Four vendors show up again and again when you search for SAP order automation. All four sell an end-to-end flow: capture the order, validate it against SAP master data, and create the sales order. None of them publishes a price. The two that reach most shortlists are set side by side in Conexiom vs Esker for order automation.
These are real products with real SAP integration, and for an order desk processing thousands of orders a month with budget for an implementation, one of them may well be the right answer. The honest trade-off is time and money: quote, scoping, integration project, annual contract. Teams replacing an older template-based capture suite rather than adding a new tool usually start from the ABBYY FlexiCapture alternative or Kofax alternative comparisons.
PurchaseOrders does one part of the job: it reads the customer purchase order and returns the header and every line item as Excel, CSV or JSON, or through the purchase order API. It does not connect to SAP, create sales orders, call BAPIs or process EDI. You keep your own loading route, whether that is the Import Sales Orders template on S/4HANA or a BAPI program on ECC, and the tool removes the typing in front of it.
That narrow scope is why the price is public. From our own pricing page as of September 2026:
| Plan | Monthly | Billed yearly | Pages per month (base AI / best-accuracy AI) | Worth knowing |
|---|---|---|---|---|
| Starter | $49 | $24 a month ($288 a year) | 2,500 / 500 | Up to 25 pages per document, Excel and CSV export |
| Plus | $149 | $74 a month ($888 a year) | 10,000 / 2,000 | Unlimited pages per document, bulk upload of 50 files, custom extraction templates |
| Pro | Volume based | Volume based | From 35K pages | Adds API access |
A new account starts with 25 free pages and no credit card, so you can run a week of real customer POs through it before paying anything. Compare that with a page-metered BTP service or a vendor quote cycle and the question becomes simple: do you need the order created inside SAP automatically, or do you need the retyping gone this month?
| Your situation | Best fit | Why |
|---|---|---|
| S/4HANA, already on BTP, POs in English or German | SAP Automatic or AI-Assisted Extraction | Native, lands as a sales order request |
| S/4HANA, no BTP, dozens of PDF orders a day | PDF capture plus the Import Sales Orders app | No new SAP subscription, reviewable file |
| SAP ECC, PDF orders keyed in VA01 | PDF capture plus a BAPI or LSMW load | The packaged SAP apps do not exist on ECC |
| Thousands of orders a month, budget for a project | Esker, Conexiom or Symtrax | End-to-end validation and creation in SAP |
| Most customers already send EDI | IDoc inbound, not a PDF tool | The order is already structured data |
If you run more than one ERP across business units, the same comparison for Oracle NetSuite is in sales order automation for NetSuite, and the wider workflow is covered on sales order entry automation. For the Microsoft side, see Business Central sales order agent pricing.
Your release and your BTP status. This one decision removes half the options. ECC rules out the packaged SAP apps. S/4HANA without BTP turns the native route into a separate purchase.
Customer-material info records. Every tool in this list, including SAP's own, needs to translate the part number your customer prints into your material number. That translation lives in VD51 records (table KNMT). If they are incomplete, no product will get you to touchless orders, and cleaning them up is often worth more than the software.
The duplicate PO check. Set Check purchase order no. to A on the order type in VOV8 so SAP warns when a customer reference repeats for the same sold-to party. Automation makes it easier to create an order twice, not harder.
Where orders actually arrive. Automation vendors love to talk about the inbox, but order desks are a customer service function first, and the mailbox is shared with delivery questions, returns and chasers. If your team is also rebuilding that back-office customer service workflow, decide which system owns the inbox before you add another one that reads it. Customers who can send EDI should be moved to IDoc inbound; PDF tools are for the ones who will not.
Your real page count. Page-metered pricing, ours included, is driven by pages, not orders. A distributor receiving 400 two-page orders a month uses 800 pages. Count a month of real orders before comparing quotes.
Yes. SAP S/4HANA includes the Import Sales Orders app for bulk Excel uploads, and the Create Sales Orders Automatic Extraction and AI-Assisted Extraction apps read PDF purchase orders into sales order requests. The extraction apps need SAP Document AI on BTP. SAP ECC has none of these apps and relies on BAPI, LSMW or IDoc loads.
Not as a packaged app. The sales order extraction apps are S/4HANA features. An ECC system can call the Document AI service through its APIs only with custom development and a BTP account, which is why most ECC order desks either keep a manual step or put a PDF capture tool in front of a BAPI or LSMW load.
Esker, Conexiom, Symtrax and EchoVera publish no prices and sell through quotes. SAP Document AI is consumption based and priced through SAP. PurchaseOrders publishes its plans: $49 a month for Starter and $149 a month for Plus, or $24 and $74 a month billed yearly, with 25 free pages to start.
